Intelligent Visitor Management

Manual logs and disconnected systems can leave critical gaps in visibility. Here’s how access intelligence helps organizations protect their people, places, and assets.

In a new article for Facility Executive, Kara Zucker, who leads global Product & Design at Sign In App, explores why visitor risk extends well beyond the front door, and why organizations need visibility across the entire visitor journey.

In manufacturing, that means protecting the plant floor and intellectual property. In aerospace and defense, it means maintaining time-stamped, auditable access records. In schools, it means supporting the duty of care owed to everyone in the building.

The answer is access intelligence: real-time knowledge of who is on site, why they’re there, and where they’re authorized to go. Kara outlines eight building blocks:

  • Visibility beyond the front door: Manage the full visitor lifecycle, from prescreening to where visitors can go once inside.
  • One “brain”: Replace spreadsheets and disconnected tools with a single system of record.
  • Policies that scale: Standardize policies across sites while adapting them by zone and risk.
  • Prescreening: Check watchlists and threat databases before visitors arrive.
  • A single view of each visitor: Bring credentials, authorizations, and activity together in one place.
  • Anomaly detection: Flag unusual activity, from odd-hours access to visitors entering the wrong part of a building.
  • Emergency preparedness: Maintain live visitor lists and real-time headcounts.
  • An audit-ready compliance trail: Keep time-stamped records across the entire visit.

The result is stronger security without sacrificing the visitor experience. Facility teams get greater visibility and control, while visitors get an experience that makes them feel expected, not inspected.
