Managing capacity in the workplace post-pandemic
As we’ve all adapted to a world with ever-changing regulations, working from home, Zoom conferences and contactless procedures have quickly become the norm. Despite the lockdown restrictions slowly being lifted, concepts like social distancing are likely to stay for the foreseeable future. So with that in mind, as businesses gradually start welcoming back employees to the office, many are looking for ways to embrace a new socially-distanced, and in some cases, hybrid workplace.
Here at Sign In App, over the past few months we’ve been slowly easing back into our office (or the barn as we like to call it) and one of the ways we are doing this is by managing the capacity of staff members in the workplace at one time and implementing a new hybrid working policy. While we adapt ourselves, we thought we’d share a few of our top tips that will hopefully help your organisation with managing capacity in your workplace.
Embrace a hybrid workforce
We have written a number of different blogs focusing on a hybrid workforce, all including different tips and tricks to help you implement a hybrid working strategy in your organisation. The benefits of fully embracing hybrid working are endless but if managing capacity is one of your priorities, allowing employees to split their time between working in the office and remotely can make it a lot easier.
Set max occupancy on Sign In App
If you’re already using Sign In App, it’s really easy to set max occupancy at site or group level and enable notifications for when the capacity has been reached. For example, if you set up max occupancy for your staff group at 10 people, when the tenth person has signed in, it will trigger a notification which can be sent via SMS, email, Slack or MS Teams.
Book desks and meeting rooms in advance
As more organisations introduce hybrid working, hot desking has become more popular. Having a solution that gives you the ability to book a desk space or meeting room in advance can be great for managing capacity in the workplace with a hot desking policy. Set up the office to maintain social distancing
Social distancing is likely to be a concept that’s here to stay for the foreseeable future. So if you do require staff members to present on site, we recommend rearranging it to ensure you can maintain social distancing. For example, ensure desks are set up 1-2m apart from each other or only allow staff to sit on every other desk and clearly mark which desks are not to be used. While we’re seeing floor markings used slightly less than they were peak-pandemic, they may still be relevant in your organisation, particularly to ensure distance is kept whilst queuing.
